INEFFICIENT
Consequences

Potential to make mistakes, miss data & knowledge loss
Misunderstandings & confusion regarding tasks instructions

Conclusions- Market & Competitive research:

Save time & effort

1
Task table as main screen
Tables help users scan the screen & process fast the scope & content of their existing tasks before drilling down to work
2
Conventions
Ease learning curve by using common icons, task-related terminology (Assignee, Todo, etc.) consistent color scheme
3
Visual aids & signals
Ease the user mental load by using indicating colors (green for right, red for wrong etc.), clear separation between screens or sections
4
Notes, comments mentions
Approachable for all team members to help complete tasks & encourage knowledge documentation

Increase user’s perception of control

1
Informative task screen
Containing explanation, scope, requirement, topic, status, prioritization, related files, comments
2
Orientation components
Providing breadcrumbs, tags & labels, search bar, prominent headlines etc.
3
Flexibility
Allow control by having editable tags, comments, notes & data categories. Options to customize display, filtering/sorting etc.

“We wanted help to preserve a consistent standard for our work & deliveries for clients.”
“I want my team to find all the things they need to perform their tasks all in one place & not to try & gather the data from different google sheets.”
“I want to know exactly how many items I need to review & to easily skip between items & return later if I need.”
“Sometimes I’m not aware of the relevant knowledge that other teammates have regarding a task I was assigned to”

Conclusions- User research:

Save time & effort

1
Navigation
Helping the user find what he needs by having search bar high in hierarchy & a designated screen to review all items or skip between them (since the user needs to be oreinted to their tasks)
2
Orientation components
Give the user constant task-oriented context by providing breadcrumbs, tags & labels, search bar, prominent headlines etc.
3
Integration
The software will sync & communicate with other tools being used in the company: Jira, Slack, Notion etc. so the user won't have to deal with importing data

Increase user’s perception of control

1
Notes & comments
Allowing approach to notes/comments both from the task description screen & item screen
2
Deliverables consistency
Ease the effort to have consistent deliverables by use categories pre-defined menus/buttons to tag & validate the data
3
Work progress
Percentage progress bar & task counts high on the screen hierarchy help when having to inform managers regarding progress.

Final Results

Task screen

The goal is to give the user a clear yet informative overview regarding his tasks.

Table display allows the user view his tasks by scanning a lot of information at the same time.
Also used progress bar and tags to help the user assess his tasks & to give an indication of progress.
The different tabs allow the user to focus on different stages & be able to understand his progress as well.

Task overview

A screed designed to provide full information regarding the task so it’s possible to start working.

The user needs to understand the context, importance, scope & urgency (visualized by tags, icons, progress bar, breadcrumbs etc.).

The screen was divided into two so the user can have a sense of control by also seeing a preview of the task items before entering the task itself.

Data validation task

This screen is focusing the user regarding a specific item in a task allowing to differentiate by colors between different data parts.
There’s also an overview of tagged items & full info on progress.

To ease mental effort, the user can use 3 buttons containing icons & colors related to the meaning of the buttons.

The validated tags section is displayed side by side to enhance sense of control.

This section was divided into categories to help the user find the tags faster by scanning the drop-downs.

Data-tagging task

In this task the user needs to choose from multiple already-known categories in order to tag the data.

To fasten the decision process, I used a drop-down menu with pre-defined categories & conventional radio-buttons.

The tagged items section is separated & displayed side by side to enhance sense of control.

This section was also divided into categories to help the user find the tags faster by scanning the drop-downs.
